What is covered in this article?
Form Status
All forms that have been submitted in Apply, independent of what form it is, must go through 5 standard stages, and 6 stages when using the Send Form Invite button from the Students List screen. These are:
- INVITED: (Optional) Set immediately once a School User clicks the SEND FORM INVITE button from the Students List screen to invite a family to start a form.
- IN PROGRESS: Set immediately once a form has been started by a family.
- SUBMITTED: Set automatically once all required fields have been completed on a form and the family clicks the SUBMIT button.
- IN REVIEW: This is manually set by a School User to indicate that a staff member is reviewing the form for accuracy and content
- PENDING: Also set manually, if some of the material submitted is incorrect and requires more input from the family.
- FINALISED/FINALIZED: A form can be finalised when all required fields are complete.
Changing the Form Status
The form status can be changed by clicking on the relevant status from the form details for the student.
- Go to Form Entries > Apply Forms and select the desired form/student by clicking on the student name or the green pencil
- At the top of the screen you will see an admin summary section and below that is a green/grey progress bar indicating the form status
- To change the Status, just click on the relevant item in the progress bar and it will change
| Note: It is not possible to move a form into the IN PROGRESS status, you can only move the status to IN REVIEW, PENDING and FINALISED |
Finalising/Finalizing a Form
A School user can finalise a form only when all required fields have been completed.
- To finalise, click the FINALISED section on the Status bar.
- A dialog will be displayed allowing you to specify the student Status to set. Please read this article on how to set the default for this value.
- Click SAVE and the form will then become locked down and no more editing of the form will be possible.
