What can be accessed under the setup?
School Admins can access the setup screen for any form. For each form the following options can be accessed:
- Form Options: Forms option are used to set the value of Student Status, Activity Log, Event Label for Google Analytics and lead source for various stages of the application
- Embed Code: This is the code that is copied and pasted onto the relevant page on your school website
- Form Permalink: A permanent link to the form that you can use in emails or on social media. The permalink version will also display the Header and Footer set up under the Admin > Signup Forms screen
- Welcome Message: The content of the first screen a family is presented when they start the form process. See Editing the welcome message for more information
- Fees & Discounts: Any Fees associated with the form and whether or not you will be using a payment gateway
Accessing the setup screen
Follow the steps below to edit or access the various options above.
- Go to Admin > Forms
- Locate the specific form you wish to edit
- Click the gear icon to access the setup screen
Editing Form Options
The Forms option are used to set the value of fields including the Student Status, Activity Log entry, Event Label for Google Analytics and Lead source for various stages of the application.
The fields below can be set during various stages of the form submission processes.
On Invitation
When sending an invitation to a family for a form, you can decide the Student Status to set as soon as the form invitation is sent along with recording an Activity Log.
On Starting
Since each form only supports one student, you can decide the Student Status to set as soon as the form is initiated.
- Set Student Status field. Choose from the available list of options from the Student Status drop down to set when a family start the form for a specific student
| Tip: Recommend selecting Preserve existing Student Status if it is further along than the specified value since this will maintain the integrity of your funnel and not revert a student to an earlier status |
| Note: If the value for Student Status does not exist, please create a ticket to have your item added. |
- Set the desired Activity Log entry. This is an optional field that will record an activity log entry when the form has started. Choose which Activity you would like to record
| Note: If your desired activity item does not exist, you can add a new activity item under Admin > School Lists, select the Activities List Category and click the +Add New button to create a new item. Once you do that it will appear in your drop down list |
- Set Event Label for Google Analytics. This is also optional and will default to the name of the form followed by "FormStart". You can edit this to whatever you wish.
| Note: The Event Label for Google Analytics will only appear if Google Analytics has been set up under Admin > App Integration - see this article for more information |
- Set the Lead Source. Choose from the list of available options that will only be recorded if there is no existing value stored for the student.
| Note: If your desired activity item does not exist, you can add a new activity item under Admin > School Lists, select the Activities List Category and click the +Add New button to create a new item. Once you do that it will appear in your drop down list |
On Submission
As in starting the form, you can also set a subset of fields when the form has been submitted. These include:
- Student Status
- Preserve existing Student Status if it is further along than the specified value
- Activity Log
- Event Label for Google Analytics
The description/functionality of these fields follow the same rules for those in the On Starting section of the form.
On Finalising
Forms are Finalised within the Apply module from the student details screen and when a School user chooses to finalise a form, they can select the Student's desired Status.
The following fields can be set:
- Student Status: this is a required field
- Set existing Student Status as the default if it is further along than the specified value: This is optional but recommended to be selected since it will preserve the integrity of your funnel/pipeline
- Activity Log
These description for these fields follow the same rules for those in the On Starting section of the form.
