When Parent/Guardians sign a form, you will notice the following acknowledgement just above the signature block:
"I acknowledge and agree that, at the time of signing this form, my IP address will be recorded and stored by the School for administrative, security and legal compliance purposes."
Here is a simple explanation of what this means and why we do it.
What is an IP Address?
An IP address is a unique number automatically assigned to the device you are using when it connects to the internet — whether that is a phone, tablet, or computer. It is not personal information in the traditional sense, but it does help identify the device and approximate location used at the time of signing.
Why Do We Record It?
Recording your IP address at the time of signing is a standard security and compliance practice. It helps us confirm that the form was signed by a real person using a real device, maintain a secure and reliable record of when and how the form was signed, and meet our administrative and legal obligations as a school. In the rare event that a legal or law enforcement authority requires us to provide information about a signing — for example, as part of an official investigation — having this information on record means we are able to respond accurately and responsibly.
Will It Be Used for Anything Else?
No. Your IP address is recorded solely in connection with the signing of this form. It will not be used for marketing, tracking, or any other purpose unrelated to the administration and security of your application.
How Long Is It Stored?
Your IP address is stored for as long as the associated application record is retained by the school, in line with the school's standard data retention policy. If you have questions about how long your records are kept, please contact the school directly.
