Overview
When an apply form has been sent out for signing, it will remain in a Pending Signatures status until all required contacts have completed their signature. School users can monitor which forms are awaiting signatures at any time, allowing staff to follow up with contacts where necessary and ensure applications are progressing in a timely manner.
When Would You Monitor Pending Signatures?
Monitoring pending signatures is useful when you want to check which applications are still awaiting a response from one or more contacts, when you need to identify forms that have been outstanding for an extended period, or when you are preparing to send signature reminders to contacts who have not yet signed.
How to Monitor Pending Signatures
- Go to Applications > Apply Forms.
- Use the Status filter and select Pending Signatures.
- The list will display all forms currently awaiting one or more signatures.
- Review the Form Status column to see how many signatures are still outstanding for each form.
From here, you can open any individual application to view further details, including which specific contacts have not yet signed.
Sending Signature Reminders
School users can manually send reminders to contacts who have not yet signed. There are two ways to do this:
From the Apply Forms list view:
- Go to Applications > Apply Forms and filter by Pending Signatures status.
- Select the records you wish to send a reminder to by clicking the checkbox on the left-hand side of each record.
- Click the Send Contact Message button and select the Send Reminder option.
- Select a time threshold (e.g., contacts not reminded in the last 3 days).
- Click SEND to send reminders to all matching contacts.
Note: Emails will only be sent to forms that have a signature pending and match the selected recency criterion.
From the application preview page:
- Open the relevant application.
- Click the Send Contact Message button and select the Send Reminder option.
Important Notes
The Pending Signatures view will only display forms that are actively awaiting a signature — forms that have been signed, submitted, or withdrawn will not appear here. If a contact is not responding, you may wish to send a signature reminder or, where appropriate and where the school has lawful authority to do so, consider using the Force Submit option.
