Below is a summary of what's new in this latest release.
New Features
We've added the following updates that should make your lives much better!
New Fields
Two new fields have been added, Geographic Status and Eligibility Status, each are configurable and come with their own list items under the Admin menu, but first they must be turned on to be accessible.
The purpose of these two fields are as follows:
- Geographic Status: This is designed to be used on standard Enquiry Tracker forms to capture information on whether the family resides within your school's catchment or boundary zone. Once enabled, families can choose from a default list of options.
- Eligibility Status: This is independent of Geographic Status and is an Admin Only Use field that schools can choose to turn on to mark whether a student is eligible based on any specific criteria.
Enabling the new fields
A user with School Admin access needs to follow the steps below to enable these two new fields
- Go to Admin> Edit School
- Scroll down to the Optional Fields Section

Select Yes for the fields you wish to enable
- Click SAVE
Once enabled they will appear throughout the application. Namely on the student details screen, under Lead Score and on the forms.
Lead Score Updates
If Geographic Status has been enabled it will appear as an additional option when creating a new rule for your Lead Score. For example, if you are scoring on whether a student lives in your catchment area or not, you would add that as an option here.
Student List Screen
Search Update
Users can search for matching records by including the following new fields from the More... filter.
- Postal/ZIP code
- Geographic Status and
- Eligibility status
Bulk Edit
If the two new fields have been enabled, they will also appear as options when bulk editing students in the student list screen
Student Details Screen
If new fields have been turned on they will appear on the Student List screen as follows:
Geographic Status is a family entered field, that can always be edited by the school, but appears in the Edit Student panel
Eligibility Status is an admin only use field and as such appears in the Admin use section
Apply Form Enhancements
New Geographic Status Field
A new Geographic Status field can be turned on in the Student Residency section. The label and description can be edited on the form and the list can be edited under Admin> School Lists
Form Editor Changes
We have moved two fields from the original Student Residency Section up to belong in the Student Details Section and renamed the original as Citizenship and Background Information to better reflect the content. Of course, you can rename these to your preference.
The Campus Field
For single campus schools, the campus field used to be a required field on your Apply forms - not any more. In fact, if you are a single campus school it has magically been removed for you! Campus is no longer a field on Apply forms for a single campus school!
Deleting docs
School users can delete docs from the app details screen but have the option to leave the artifact of the original file but not the file itself. This is important for data retention policies, so you can sight the document, make a note, set the status and then delete the file.
Religion and Current School Fields
You now have the option to make Religion & Current School fields optional. In the past they were always mandatory, due to the Other... option. This has been fixed.
We have also updated the Religion field to honor the option to not display Other... as this was being ignored.
Signup Form Updates
Settings
We heard from some schools that when a family submits a form, they only want student data to be updated when a more accurate match happens. Up until this release, it was dependent on the following:
- A match to the Student's First name and Last name and the student is already related to the matching contact, or
- Student's First name, Last name and Date of Birth are an exact match
We have now added Starting Year as an option parameter, and for Multi-campus schools, the Campus as well. This will create a duplicate enquiry unless all fields match.
New Geographic Status Field
A new Geographic Status field can be turned on in the General section. The field label can be edited on the form and the list can be edited under Admin> School Lists
Copy Link to Signup Form
We have added a new copy form link on Signup forms page under Admin> Signup forms. This will give you the link directly to the form for families to complete. Ideal if you want to send the link in an email so they know exactly where to go.
Making Subtours Optional or Mandatory
Up until now you had to decide if subtours were optional or required for all subtours. Not anymore. We have moved the options to specify whether a subtour is optional from the Edit Signup form screen to be a new option when editing event details.
Chart Updates
Enquiries by City
This chart has been enhanced to support new features:
- Grouping by Postcode and Location
- Search using a text string
- Separate columns for Location and Postcode
Enquiries by Status
We increased the performance of this chart so that it renders about 30 times faster than before!
New Map Layer Option
School admins can now flag a single layer under Admin> Map Layers that represents the school’s catchment zone/boundary area.
Fixes & Enhancements
- Subtours with the same time are now sorted by Subtour Name and in alphabetical ascending order
- We have replaced Personal Tours Summary text on dashboard with Appointments Summary
- Fixed an issue in Org View with the value for the number of declined by students displayed in Decline by reason chart
- Disabling Subtours will no longer turn off an entire event
