Documents
User submitted forms such as Birth Certificates, Previous School Reports, Immunisation Statements etc. can easily be downloaded to your local device allowing them to be printed and stored in hard copy, or uploaded directly to your School’s Student Management System. Documents can be downloaded in three separate ways. Either via the Application Menu, as a whole via the student’s application or alternatively, individually via the ‘Document section’ in the student’s application.
Downloading Documents via the Application Menu
This method is useful when downloading documents for multiple students at once.
- Go to Form Entries > Apply Forms and find the student or group of students whom you wish to download documents for.
Tip: Use filters to narrow down the number of students shown in your application panel - Select your student/s by selection the checkbox on the left hand side of the application table.
- Click the Export button at the top of the application table,
- Select Download Documents from the menu and a dialog will be displayed.
Note: For additional security purposes, you School Admins are encouraged to enter a custom password which you will be required to enter when retrieving the documents. - Enter in a desired password or click continue and a password will be generated for you
Note: Make sure you copy the password before you click OK, otherwise you will not be able to open the ZIP file - Click OK and your request will be processed in the background
- Depending on how many documents need to be sent it may take several minutes, but you will receive an email containing a link to download a zip file of your documents
- Click the link in the email
- Enter the password from Step 4/5 above to extract the folder and/or individual files.
Downloading All Documents via the Student’s Application
Documents can also be downloaded directly via the Student’s application. This may be useful if you are seeking to download documents immediately after reviewing and verifying an individual application.
- Go to Form Entries > Apply Forms and locate the student for whom you wish to download documents for.
Tip:Use filters to narrow down the number of students shown in your application panel - Access the student’s application record by clicking either Student Name or the green pencil icon.
- Click the purple Download Documents button which will be located just above the application form steppers.
- You will be prompted with the same dialog in Step 4 above
- The remaining steps are the same as above
