Overview
The Appointments module in Enquiry Tracker allows you to schedule different types of appointments with families. These can be in person, via phone or web conference. Appointments are categorized by Appointment Type, such as Assessment, Interview, Meeting, Personal Tour, etc. The Appointment types can be easily customized to your specific needs. See Adding an Appointment Type to learn more about how to set these up.
Creating a new appointment for an existing family
Follow the steps below to create a new appointment for an existing family
- Go to Enquiries > Students List
- Locate the relevant student you wish to make an appointment
- Go to the Student Details screen by clicking the student name or pencil icon
- Click the +APPOINTMENT button on the top left of the screen
- Select New Appointment and fill in the relevant information for the event, including:
- Appointment Type: Select from the list of available options
- Title: Enter in a Subject or topics for this appointment, just like you would do if scheduling a meeting with someone
- Description (Optional) This can contain the agenda or relevant instructions
- Campus: If your school is a multi-campus school you will need to specify the relevant campus.
- Date: this is the date the event will be held on.
- Start and End Time: both are required in order to send the correct calendar invite.
- Assignee: Select the name of the person that will be conducting the appointment
- CC Email Address(es): Add any other relevant email addresses, delimited by a comma, that you want to be informed of the meeting - Front desk/reception is often entered in this field

Specify Location this is a drop down list with 3 fixed options:
- In-person
- Phone call
- Web Conference
- Location will populate with the address of your school, but can be edited with other information such as phone number to call or web conference details
- Enter in RSVP number
- Click SAVE
Once you save, several actions will happen, these include:
- A new activity log entry will be created for the student
- An email will be sent to the family along with a calendar invite
- An email will be sent to the assignee instructing them they have been assigned an appointment with the family long with all the details and a calendar invite
- If entered, the cc email will also receive an email with the calendar invite
