Why is this important?
Sometimes a family books into one event and later asks to switch to another — a different date, a different campus session, or a different tour time. Rather than asking the family to fill out a brand new registration themselves, you can move their booking across from the Contact record. This keeps the family's existing contact and student details intact and simply re-points their RSVP to the new event.
The process has two parts: add the family to the event they now want, then remove their booking from the original event.
Step 1: Add the family to the new event
Perform the following steps to register the family for the new event:
- Go to Enquiries > Contacts and search for the family by name.
- Click Edit to open the contact's details.
- Click the + EVENT button in the button bar.
- Select the event the family wants to attend from the dropdown list.
- Enter the RSVP number for the booking.
- Click SAVE.
Step 2: Remove the family from the original event
Perform the following steps to remove the family's original booking:
- Go to Events > Event List and locate the event the family originally booked into.
- Click Edit to open the event's details.
- Locate the family's booking in the RSVP List.
- Remove the booking from this event.
Frequently asked questions
Does the family need to re-enter their details for the new event?
No. Adding the event from the Contact record reuses the existing contact and student details already on file — you're only adding a new RSVP against the event they now want to attend.
What order should I do these steps in?
Add the family to the new event first, then remove them from the original event. This avoids a gap where the family has no active booking.
Will the family be notified about the change?
No. Adding an event from the Contact screen does not send the family any confirmation email, unlike an online registration. You'll need to message them yourself to confirm the new event's date, time and location.
