Overview
Multi-factor authentication (MFA) adds an extra layer of security to your Enquiry Tracker account. Once enabled for your school, every user will be required to verify their identity using a one-time 6-digit code generated by an authenticator app — in addition to their regular email and password.
This article walks you through what to expect the first time you log in after MFA is enabled, and how to complete the one-time setup.
Before you begin
MFA must be enabled for your school by the Enquiry Tracker team before you can complete this setup. If you haven't been notified that MFA has been turned on for your school, contact your school administrator or Enquiry Tracker support.
What happens when you first log in
The first time you log in after MFA has been enabled, you will see an MFA setup screen immediately after entering your email and password.
On the setup screen you will see:
- A QR code you can scan with your authenticator app
- A setup key (text string) you can copy and paste if you prefer not to scan
Keep this screen open while you complete the steps below — you will need to enter your first 6-digit code before setup is complete.
Step 1 — Choose your authenticator app
You can use any compatible authenticator app. Enquiry Tracker supports the following:
- 1Password — password manager with built-in one-time password support
- Google Authenticator — free app for iOS and Android
- Microsoft Authenticator — free app for iOS and Android
Note: Any app that supports time-based one-time passwords (TOTP) will work.
Step 2 — Link your authenticator app
Option A — Scan the QR code (recommended for phone apps)
- Open your authenticator app and tap + or Add account.
- Select Scan a QR code and point your phone's camera at the QR code on the Enquiry Tracker MFA setup screen.
- The app will add Enquiry Tracker and begin generating 6-digit codes that refresh every 30 seconds.
Option B — Enter the setup key manually (for 1Password or desktop apps)
- On the Enquiry Tracker MFA setup screen, copy the setup key shown below the QR code.
- Open 1Password, click New Item, and choose Login. Fill in your Enquiry Tracker username and website URL, then click Add More.
- From the Add More dropdown, choose One-Time Password.
- Paste the setup key into the One-Time Password field and save the item.
- After saving, a 6-digit code will appear next to the login item. This code refreshes every 30 seconds.
Step 3 — Enter your code to complete setup
Go back to the Enquiry Tracker MFA setup screen in your browser. Enter the current 6-digit code shown in your authenticator app and click Verify.
Tip: The code changes every 30 seconds. If it expires before you can enter it, wait for the next code and use that one instead.
Subsequent logins
After completing setup, every time you log in you will be prompted to enter your 6-digit code. Open your authenticator app, copy the current code, and enter it when prompted.
Session timeout
Your session will expire after 4 hours of inactivity. If you are logged out, you will need to sign in again with your email, password, and a fresh 6-digit code from your authenticator app.
Troubleshooting
My code isn't working Authenticator apps use time-based codes. Check that your device's date and time are set to automatic (synced to your network). A device with the wrong time will generate codes that don't match.
I've lost access to my authenticator app If you can no longer access the app you used during setup (e.g. you've lost your phone or deleted the app), contact your school administrator or Enquiry Tracker support to have your MFA reset.
I didn't see the setup screen If you logged in and were not shown an MFA setup screen, MFA may not yet have been enabled for your school. Confirm with your school administrator that the policy has been applied.
