What is the Student Residence Address?

Overview

The Student Residence Address is a new set of fields in Enquiry Tracker that records the primary address where a student lives. This is separate from the contact addresses stored against each parent or guardian on the application.

Knowing where a student actually lives is important in cases where parents or guardians are separated or divorced and the student may not live at either of their primary contact's addresses. Having an accurate student address allows schools to know where they live or reliably determine whether a student falls within their catchment area.

Note: The Student Residence Address is stored at the student level and is distinct from the residential addresses entered for each parent or guardian on the form. 

Where is the Student Residence Address Displayed?

The Student Residence Address appears in the Student Residency section of the Student Details screen in Pipeline. It sits alongside the existing Student Lives With and Geographic Status fields, so all residency-related information is grouped together in one place.

How is the Student Residence Address Populated?

When a student record is created, the Student Residence Address will be automatically pre-populated based on the primary contact's address, using the following logic:

  • If there is one primary contact, the student residence address will be set to that contact's residential address.
  • If there are two primary contacts, the student residence address will be set to the address of the contact who was most recently set as primary.

This pre-population happens automatically, so in most cases no manual action is required. The address can always be reviewed and updated manually if needed — for example, if the student lives at a different address to either of their contacts.

Note: If a contact does not have a residential address on file, the student residence address will not be pre-populated and will need to be entered manually.

 

Adding the Student Residence Address to Apply Forms

The Student Residence Address field group can be added to Apply forms and will appear within the Student Residency sub-section of the Student stepper, between the Student Lives With and Geographic Status fields.

To add the Student Residence Address to an Apply form:

  1. Go to Admin > Forms and locate the relevant form.
  2. Click the pencil icon or form name to edit.
  3. Click Manage Fields on the right-hand side to open the field panel.
  4. Locate the Student Residency section under the Student stepper.
  5. Click the eye icon next to the Student Residence Address field group to turn it on.
  6. Save and publish the form for your changes to go live.

When a contact completes the form, they can enter the student's primary residential address directly. If the Student Residence Address field group is not included on the form, the address will still be automatically populated from the primary contact's address once the form is submitted.

Adding the Student Residence Address to Signup Forms

The Student Residence Address field group can also be added to Signup forms. It will appear in the general section of the form, after Future Siblings and before Geographic Status.

To add the field group to a Signup form, follow the same steps as for Apply forms above, locating the relevant field within the Signup form editor.

Note: If the Student Residence Address is not added to a Signup form, the address will still be automatically populated from the primary contact's address, provided that the contact's address has been collected on the form. 

Editing the Student Residence Address in Student Details

School users with the appropriate permissions can view and update the Student Residence Address at any time directly from the student's record in Pipeline.

To update the Student Residence Address:

  1. Navigate to the relevant student's record in Pipeline.
  2. Scroll to the Student Residency section.
  3. Click Edit and update the address fields as required.
  4. Click Save.

How the Student Residence Address is Used in Geographic Analytics

The Student Residence Address is now used by the Analytics > Geographic charts to plot pins on the map and roll up data by location. Previously, the geographic charts used the primary contact's address to position each pin. With this update, the map reflects where students actually live, giving schools a more accurate picture of their catchment coverage.

The geographic data rollup — including charts that group enquiries by city, suburb, or region — also uses the Student Residence Address.

Note: If a student does not yet have a residence address set, the geographic charts will not be able to plot a pin for that student.
