Why is View by Engagement Important
The View by Engagement view is important because it allows users to locate students that have had some or no engagement for a period of time. For example, you can find a list of students that have:
- Not had a Past Activity for a given number days
- Not had any Communication for a given number of days
- Attended, missed or never registered for a certain type of Event or Appointment
This allows you to do things like:
- Find all families that registered for an Open Day, but did not attend, so you can invited then to a new event
- Which families have registered for an event in the next 30 days, so you can send them a general email about the school
- Find families that have not had any email or phone call from the school for 45 days so you can re-engage with them
How to Access the View by Engagement Screen
View by Engagement is accessible from the student list screen. Just follow the instructions below:
- Go to Enquiries> Students List
- Click the View by Engagement menu just to the top left of the tale header row
- Choose your options and off you go!
View by Last Activity
View by Last Activity supports any activity that is under Admin> School Lists> Activities that is in use by any student.
Follow the steps below when using View by Activities
- Go to Enquiries> Students List
- Click the View by Engagement
- Click the Activities from the Criterion options
- Select your preferred option from the Timeline menu - default is Past or No Activity
- Choose at least one activity from the drop down, i.e. Phone Call
- Enter in an option for Days Passed, the default is 30 days
- The result will be a list of students that have had no phone calls in the last 30 days
View by Last Communications
View by Last Communications supports any comms, email or SMS (if SMS has been enabled) that has not happened in a specific period of time.
Follow the steps below when using View by Communications
- Go to Enquiries> Students List
- Click the View by Engagement
- Click the Communications from the Criterion options
- Select your preferred option from the Timeline menu - default is Past or No Communications
- Enter in an option for Days Passed, the default is 30 days
- The result will be a list of students that have had no Email or SMS sent to their related contacts in the last 30 days
View by Events
View by Events supports both past and future events. This means you can find families that have never registered for an event or those that registered but did not attend an event in a specified period of days.
Follow the steps below when using View by Events.
- Go to Enquiries> Students List
- Click the View by Engagement
- Click the Events from the Criterion options
- Select your event type such as Open Day or School Tour from the Event Type menu
- Enter in an option for Days Passed, for attended or Missed Events
- Enter in an option for Days To Go, for Future Events
- The result will be a list of students that have met the defined criterion in the filter
View by Appointment
View by Appointment supports both past and future appointments. This means you can find families that have never registered for an appointment or those that registered but did not attend the appointment in a specified period of days.
Follow the steps below when using View by Appointments.
- Go to Enquiries> Students List
- Click the View by Engagement
- Click the Appointments from the Criterion options
- Select your appointment type such as Personal Tour or Interview from the Appointment Type menu
- Enter in an option for Days Passed, for attended or Missed Appointments
- Enter in an option for Days To Go, for Future Appointments
- The result will be a list of students that have met the defined criterion in the filter
Performing Bulk Actions on Selected Records
Once you have found the list of students on the screen, you can select them and perform a bulk operation such as editing various fields across the records, sending a message to the contacts of the students or deleting students.

Note the following:

- Select the desired students from the list by clicking the checkbox next to their name
- Choose one of the available actions
- EDIT SELECTED
- SEND MESSAGE
- DELETE RECORDS -> NOTE - this action will delete the student record. Do not choose this option if you do NOT intend to delete records. Remember you are still on the student list screen. If you choose this option, a dialog will be displayed asking you to confirm. Do so carefully!!
